Archiving keeps your active applicant lists focused on the people you are actually working with today. The good news: it now happens automatically based on applicant status.


There is no separate archive or unarchive button. Move an applicant to a status in the Archived stage and they are archived. Move them to a status in any other stage and they are back. One switch, both directions.


How stages and statuses fit together

Your statuses are grouped into stages, and one of those stages is Archived. Any status inside it will archive an applicant the moment you apply it. Statuses like Not a Fit, Rejected, or Withdrawn commonly live there, though your account may use different names. If you are not sure which of yours are archiving statuses, your account admin can check how they are mapped.

To archive an applicant

  • Open the job from your Dashboard, or go to All Applicants.
  • Open the applicant's status dropdown.
  • Choose a status in the Archived stage, such as Not a Fit or Rejected.

They move out of your active tabs right away.


To unarchive an applicant

1. Find them. Archived applicants live in two places:

  • If you know the job, select the job title from your Dashboard, then open the Archived Applicants tab.
  • If you cannot recall the job, select All Applicants, then choose Archived Applicants.

2. Change their status. Open their status dropdown and choose any status in a stage other than Archived, such as New, In Review, or Interviewing. Pick the one that reflects where you actually want to pick things up.

3. Find them again. Rated applicants reappear in the Rated Applicants and All Applicants tabs. Unrated applicants reappear in New Applicants and All Applicants.

If they seem stuck, refresh the page or double-check that your new status is not also in the Archived stage. That is the most common culprit.


Good to know

  • Nothing is lost when an applicant is archived. Resumes, ratings, notes, and messages all come back with them.
  • This is fully reversible, as often as you like.
  • Updating status on several applicants at once is much faster than going one by one, handy when you are wrapping up a closed job.
